Displaying Certification Documents: Scope and Status Checks
Tuohai editorial guide · Reviewed and published October 5, 2026. The worksheets are blank working templates, not client results.
A website displays a certificate image beside “all products certified.” The document may be genuine while the wording exceeds its scope. Before displaying certification documents, check whether the page's text and images match the actual material.
This guide helps website editors identify gaps, inconsistencies and expanded claims. It does not authenticate certificates or provide legal, certification or market-access conclusions. Responsible people and appropriate professionals must confirm applicability.
Check the Holder, Location and Certificate Scope
Obtain the complete document. Compare the holder's name, address, certificate number, standard and version, scope and issuing body. A website brand may differ from the named entity; confirm their relationship rather than inventing it.
Location and scope are substantive information. If a document names particular premises or activities, do not extend its wording to every branch, production line or product. Ask the document owner to explain unfamiliar scope terminology before translating it for marketing.
Do not automatically turn management-system material into “every product is certified.” Whether a particular document supports a product or business claim requires the appropriate check. The editorial action is to pause that leap in wording, not make the professional determination yourself.
UKAS's CertCheck description explains its purpose in checking claims of UKAS-accredited management-system certification. Verification tools have coverage limits. A search box is not a universal authority for every document labelled certification.
Check Current Status, Not Just Printed Dates
Dates provide context but do not independently establish current status. Record the check date, official route used and fields that matched. A static certificate image should not carry the entire maintenance process.
IAF CertSearch's current search guidance describes searches by company name or full certificate number. Its listed details include name, standard, status, scope, last update and issuing body. This is a reference to the method, not confirmation that any factory certificate was checked here.
Select the correct entity and document. Similar names, different addresses or missing numbers are reasons to investigate, not reuse someone else's result. A record should identify the object and check time rather than show only a green status.
If the route is unavailable, incomplete or conflicts with the document, record “requires verification” and contact the responsible source owner or issuing body. An unsuccessful search does not authorise an editor to declare a document genuine, false, valid or invalid.
Keep Every Page Statement Within the Document's Wording
A page need not reproduce the entire file, but readers need enough identifying information and scope to understand it. A tiny logo without a holder or scope remains difficult to check.
Review the title, caption, alt text, product badges and download names together. A narrowly worded paragraph beside “globally certified factory” is inconsistent. So is a Chinese note saying verification is pending while English says “fully certified.”
In a hypothetical workflow, the scope has not yet been explained. Keep the internal review record and postpone the capability claim. This is not a completed client review. Once confirmed, write the supported statement rather than using vague phrases such as “internationally authoritative certification.”
Do not interchange certificates, reports and declarations. Confirm the material's category. Refer publication, redaction and mark-use requirements to the responsible people; a website editor should not provide a compliance guarantee.
Certification Display Worksheet
This is an original blank template, not a client result, certification assessment or approval to publish. Unconfirmed entries remain blank.
| Check | Record |
|---|---|
| Original document category, name and complete version | ____ |
| Holder, website brand and confirmed relationship | ____ |
| Address, premises and excluded locations | ____ |
| Certificate number, standard and version | ____ |
| Original scope and proposed page wording | ____ |
| Issuing body and relevant official verification route | ____ |
| Dates, current status and check time | ____ |
| Permission for images, downloads and marks | ____ |
| Conflicts, responsible role and next action | ____ |
| Referencing pages, languages and review arrangement | ____ |
Ask what the material is, what the page says and whether they match. Unknown scope must not become “applies to everything.” The completed worksheet would still be an editorial record, not public proof of authenticity, professional validity or compliance.
Maintain References and Translations Together
The same document may appear on About pages, product pages, footers, downloads and sales material. Record those references. New versions, status notices or entity and address changes should trigger review of affected statements.
Update or pause unsupported claims before waiting for replacement graphics. Translations must not turn “documents supplied” into “certification achieved” or remove limits to create a stronger slogan. If retaining historical material, explain its time context.
Include this work in content operations (Chinese), with separate roles for facts, editing and professional confirmation. A certificate wall does not guarantee indexing or AI recommendations.
Frequently Asked Questions
Does no search result mean a certificate is invalid?
Not as an editorial conclusion. Check the route's coverage, entity and number, then seek confirmation. Until resolved, make no validity or authenticity claim.
Can we hide the number and show only a mark?
Confirm publication requirements and whether readers can still identify the material and scope. Redaction must not expand the claim. Refer mark-use questions to responsible people or professionals.
Does displaying a document establish market access?
No conclusion should rest on website display alone. Document type, applicability and target-market requirements need professional assessment. This guide only organises page information.
Conclusion: Define the Statement One Document Supports
Start with the complete original. Check entity, location, scope, status and publication conditions, then align every website reference. Pause claims that cannot be matched.
Request a free complete manual audit (Chinese). A complete manual audit is free; scope and scheduling are agreed separately. The audit does not provide legal or professional certification conclusions and does not guarantee indexing, rankings or AI recommendations.
